Advanced Asana Hacks

Finding an organizational system that works for you and keeps you accountable takes time. It takes time to discover, time to organize and implement, and time to be consistent. I use a combination of Asana (short term planning) and Airtable (long term planning). This is what works for me. I’m sharing my advanced Asana hacks so that you can spend more time executing and less time finding the task.

5 Advanced Asana Hacks :

1. Turn emails into tasks

Any task-related emails can be forwarded to Asana using x@mail.asana.com as the forwarding email address. Asana matches up the “from” email address that is tied to your Asana account and creates a new task.

To send an email to a specific board:

  • Click messages
  • Copy the email that the board
  • Forward the email to the email

2. Turn completed Google Forms into a task

Using a Google Form to collect user feedback or to take on a small project? Easily collect Data with Google forms and then transfer completed forms into tasks to follow up with at a specific time. Click here to learn more and set it up!

3. Assign tasks to multiple projects

Tasks often belong to more than one project. If I’m editing a a YouTube video, I might want specific tasks to be spread out over my weekly project board. Rather than agonizing over which project to put it in, or creating duplicate tasks where I then become overwhelmed and see double the workload, I assign it to both. Now, I have a better visual of my workload and I save time by only having to check it off one.

To use this feature, click the plus button in the task details and type the project name you want to assign it to.

4. Set up recurring tasks

Do you have recurring tasks on your to-do list such as getting your DMs to zero, answering TPT feedback, or updating plug ins? Stop wasting time by creating those tasks every week and set up your tasks to repeat. Click the due date of the specific task that you want to repeat. Click the repeat option below the calendar and choose whether to repeat periodically within a certain interval or to a certain date.

5. Leverage Asana’s app integration library

Asana integrates with 3,000+ apps to bring your favorite tools together in one place – and save time connecting the dots manually. If there is an App that you don’t see, you can always use Zapier to connect them together.
